Issue branded accommodation vouchers with room configurations, meal plans, check-in instructions, and cancellation policies.
1. Overview
The Hotel Voucher Generator allows agencies to produce professional hotel check-in vouchers for clients and destination management companies (DMCs). Vouchers include all critical reservation confirmation numbers, contact details, and inclusions.
2. How to Access
Navigate to /tools/hotel in your browser or select Hotel Voucher from the tools navigation menu.
3. Key Features
- Room & Occupancy Setup: Specify room categories (Deluxe, Suite, Standard), bed configurations (Twin, King), and extra bed requirements.
- Meal Plans (Standard Travel Codes): Easily select EP (Room Only), CP (Bed & Breakfast), MAP (Breakfast + Dinner), or AP (All Meals).
- Supplier & Booking Reference: Track internal booking IDs alongside external hotel confirmation codes.
- Terms & Cancellation Deadlines: Highlight standard check-in/out times (e.g. 14:00 check-in, 11:00 check-out) and penalty deadlines.
4. Generating a Hotel Voucher
- Enter the Hotel Name, Star Rating, Address, and Front Desk telephone contact.
- Select the Check-In and Check-Out dates (nights are automatically calculated).
- Add Guest details, Room counts, and chosen Meal Plan.
- Click Generate PDF Voucher to produce an agency-branded document ready for client presentation.
